CHEST 2008 News Media and Press Room Policies
The following policies and guidelines have been prepared for news media covering CHEST 2008, the annual international scientific assembly of the American College of Chest Physicians (ACCP). Embargo Policy
All scientific information, including abstracts, posters, case reports, and special presentations, slated for presentation at CHEST 2008, are embargoed until the day and time that the information is presented, unless otherwise noted. Please check the CHEST 2008 Final Program for specific dates and times of presentations.
In some cases, a scientist presenting data that are soon to be published by a scientific journal may be unable to provide additional information to the news media because of pre-publication constraints imposed by the journal. In these instances, CHEST 2008 press room staff can provide assistance in identifying and arranging interviews with independent experts who are able to provide comment on the subject.
Registration and Eligibility
All of the scientific sessions at CHEST 2008 are open to the registered press, including representatives of print, broadcast, and Internet media (collectively known as “press”). To register as press, journalists must present media identification or a business card issued by a recognized news organization or publication. Freelance journalists must present a letter of official assignment on letterhead from a recognized news organization or publication, and a business card.
Journalists working for medical publishing companies must have appropriate press credentials (i.e., proof of an editorial assignment) in order to register and the publication must meet the following criteria:
- Must have multiple sponsors (no single-sponsor publications)
- Must have complete editorial freedom from their sponsors
Journalists reporting for online media outlets, including blogs, who wish to register as press must work for news-making organizations that meet the following criteria:
- The Web site must provide original, editorial news coverage
- Editorial content must be independent of advertising and sponsorship
- Advertising on the Web site must be clearly identifiable as such
- Any sponsors of the Web site should be clearly identified as such and should be multiple in number (i.e., no single-sponsored Web sites)
Journalists who are pre-registered and journalists who plan to register on-site should proceed to the CHEST 2008 press room, located in Room 256, McCormick Place East – Lakeside Center, Philadelphia, IL. Photo identification will be required.
Registered journalists must wear issued badges during CHEST 2008 sessions and/or when covering CHEST 2008 events.
No more than two individuals representing any news organization will be permitted to register as press for CHEST 2008 unless granted special permission by the ACCP Public Relations Department.
** ACCP reserves the right to bar from this and future meetings any journalist who deliberately promotes the viewpoint of one company or institution, or who attempts to solicit manuscripts, advertising, or subscriptions from registrants or exhibitors.
Public Relations, Corporate Representatives, and Exhibitors
Exhibitors and representatives from Industry, health/academic institutions, communications/public relations firms, medical education organizations, or companies producing print or electronic materials for these purposes are NOT permitted to register as press and are NOT permitted in the press room. Members of news/publishing organizations hosting or organizing CHEST 2008 morning/evening symposia (satellites) are NOT permitted to register as press. Advertising sales representatives, public relations and marketing professionals, publishers, and others must register through ACCP and pay the required registration fee regardless of affiliation with a journalism organization.
Representatives from a company or institution will be permitted to attend ACCP-hosted news briefings at which data are being presented on research sponsored by that company or institution. Those representatives must contact ACCP staff in advance of the news briefing to obtain permission for entry into the news briefing room.
Photographers or camera crews hired by the company/institution representatives or exhibitors must obtain permission from ACCP to conduct any on-site photo or video shoots during CHEST 2008.
Press Room Materials: An area in the press room will be designated for non-ACCP news releases (those provided by institutions, exhibitors, or industry).
- All press materials will be reviewed and approved by ACCP in advance of CHEST 2008. Materials for review must be emailed to media@chestnet.org by Monday, October 6, 2008.
- These press materials must specifically pertain to scientific research presented at CHEST 2008.
- Industry/public relations representatives are responsible for the delivery and collection of their press materials. All non-ACCP press materials not collected by the final day of the meeting will be discarded.
- Correct usage of “ACCP” abbreviation or full name, American College of Chest Physicians, is required in all non-ACCP issued press releases.
- ACCP reserves the right to refuse placement of any non-ACCP press materials in the ACCP/CHEST 2008 press room or press briefing room.
Media events or news briefings other than those organized by ACCP are not permitted during CHEST 2008 meeting times or in CHEST 2008 meeting areas. Satellite press events are not permitted during meeting hours.
ACCP reserves the right to bar or eject any guests of press briefing participants who engage in promotional discussions during the briefings that are outside the spirit of scientific exchange.
ACCP does not make available the press distribution or registration list for CHEST 2008.
